How to sync LinkedIn messages to HubSpot with LeadCRM

This guide explains how to sync your LinkedIn messages directly to HubSpot using LeadCRM with just a single click.

LeadCRM lets you choose which LinkedIn prospects to sync to HubSpot. Once you enable tracking for a contact, LeadCRM imports available historical messages and automatically syncs future messages to HubSpot by default.

You can also turn off automatic sync and manually sync remaining messages whenever you prefer.

Quick steps

  1. Install the LeadCRM Chrome Extension or Firefox add-on and connect your HubSpot account.

  2. Set your preferred HubSpot field mapping in LeadCRM settings.

  3. Open a LinkedIn profile or conversation.

  4. LeadCRM checks HubSpot and shows the correct option:

    • Add as Contact for a new prospect.

    • Use Sync with LeadCRM for an existing HubSpot contact.

  5. Click the option shown.

  6. LeadCRM imports available historical messages and syncs future messages according to your selected sync preference.

Before you begin, make sure:

How LeadCRM identifies contacts

When you open a LinkedIn profile or conversation, LeadCRM automatically checks your connected HubSpot account for a matching contact.

  • If no matching HubSpot contact exists, LeadCRM shows Add as Contact.

  • If a matching HubSpot contact exists, LeadCRM shows Use Sync with LeadCRM.

This helps you avoid creating duplicate HubSpot contacts.

Choose your message-sync preferences

By default, LeadCRM automatically syncs future inbound and outbound messages for every contact you enable for tracking.

You can change this behavior in LeadCRM settings.

Automatic sync

This is the default setting.

When automatic sync is enabled, LeadCRM syncs future inbound and outbound messages automatically for every contact you have enabled for tracking. You do not need to open the conversation or click sync again.

Manual sync

If you do not want automated syncing, turn off automatic sync in LeadCRM settings.

When automatic sync is turned off:

  • LeadCRM will not sync new messages automatically.

  • A yellow notification bar will appear when there are unsynced messages.

  • The yellow bar will say that all messages are not synced.

  • Click the notification to sync the remaining messages manually.

This gives you full control over when messages are added to HubSpot.

Choose your inbox

You can choose which inbox LeadCRM syncs:

  • LinkedIn inbox only.

  • Sales Navigator inbox only.

  • Both LinkedIn inbox and Sales Navigator inbox.

You can change this behavior in LeadCRM settings based on how your team works.

Choose how messages are saved in HubSpot

LeadCRM can save LinkedIn messages in HubSpot as either Notes or Activities. You can change this preference in your LeadCRM settings at any time.

  • Activities: LeadCRM creates a separate HubSpot activity for each LinkedIn message.

  • Notes: LeadCRM saves LinkedIn messages as notes on the HubSpot contact record.

Choose Activities if you want LinkedIn messages to appear in HubSpot activity reports and filters. Choose Notes if you prefer messages to be stored as readable notes on the contact timeline.

Sync messages for a new contact

Use this option when LeadCRM shows Add as Contact. This means the LinkedIn prospect does not already exist in HubSpot.

  1. Open the LinkedIn profile or conversation.

  2. In the LeadCRM panel, click Add as Contact.

  3. LeadCRM sends the available LinkedIn profile data to HubSpot and creates a new contact.

  4. LinkedIn fields are mapped to HubSpot Contact and Company properties based on the field mapping you configured in LeadCRM settings.

LeadCRM will create the HubSpot contact, import the available historical messages from that LinkedIn conversation, and sync future messages according to your selected sync preference.

Sync messages for an existing HubSpot contact

Use this option when LeadCRM shows Use Sync with LeadCRM. This means a matching contact already exists in HubSpot.

  1. Open the LinkedIn profile or conversation.

  2. In the LeadCRM panel, click Use Sync with LeadCRM.

  3. LeadCRM links the LinkedIn profile to the existing HubSpot contact.

LeadCRM will import the available historical messages and sync future messages for that existing HubSpot contact according to your selected sync preference.

What LeadCRM syncs after tracking is enabled

LeadCRM does not track every LinkedIn conversation by default. You decide which prospects or contacts to track.

After you enable tracking using Add as Contact or Use Sync with LeadCRM, LeadCRM will:

  • Send the available LinkedIn profile data to HubSpot.

  • Create or update the HubSpot contact using the field mapping configured in LeadCRM settings.

  • Import the available historical messages from that LinkedIn conversation.

  • Automatically sync future inbound and outbound messages by default.

  • Save messages as HubSpot Notes or Activities, based on your selected preference.

  • Sync messages from your selected inbox: LinkedIn inbox, Sales Navigator inbox, or both.

How message timestamps work

When messages are saved as HubSpot Activities, LeadCRM creates one activity per message.

The activity is recorded using the actual time the LinkedIn message was sent or received, converted to the HubSpot user’s timezone. This ensures LinkedIn activity appears in HubSpot reports with the correct historical timestamps.

LeadCRM also adds actionable timestamp properties, including:

  • Last_message_sent_on

  • Last_message_received_on

  • Connected_at

You can use these properties in HubSpot reports, lists, and workflows to identify contacts who have not been followed up recently and ensure no deal falls through the cracks.

Where to find synced messages in HubSpot

If messages are saved as Activities

  1. Open the HubSpot contact record.

  2. Go to the Activity feed.

  3. Click Filter activity.

  4. Enable the LinkedIn activity type.

Synced messages will appear as individual LinkedIn activities on the contact timeline.

If messages are saved as Notes

  1. Open the HubSpot contact record.

  2. Go to the contact timeline.

  3. Filter or scroll to Notes.

Synced LinkedIn messages will appear as notes on the contact record.

Frequently asked questions

Does LeadCRM track all LinkedIn conversations?

No. LeadCRM tracks only the contacts for which you enable sync.

To enable tracking, click Add as Contact for a new prospect or Use Sync with LeadCRM for an existing HubSpot contact.

How does LeadCRM know whether a contact already exists in HubSpot?

When you open a LinkedIn profile or conversation, LeadCRM automatically checks your connected HubSpot account for a matching contact.

  • If no matching contact exists, LeadCRM shows Add as Contact.

  • If a matching contact exists, LeadCRM shows Use Sync with LeadCRM.

This helps you avoid creating duplicate HubSpot contacts.

Is message sync automatic?

By default, yes. Once you enable tracking for a contact, LeadCRM automatically syncs future inbound and outbound messages for that contact.

You can turn off automatic sync in LeadCRM settings if you prefer to sync messages manually.

What happens if I turn off automatic sync?

LeadCRM will not sync new messages automatically. When unsynced messages are available, LeadCRM shows a yellow notification bar stating that all messages are not synced. You can click that notification to sync the remaining messages manually.

Can I sync Sales Navigator messages?

Yes. To stop automatic syncing for a contact, turn off the Automated Sync option in your LeadCRM account settings. LeadCRM will no longer sync future messages automatically.

You can still sync remaining messages manually when needed by clicking the yellow notification bar that appears when unsynced messages are available.

You can choose whether LeadCRM syncs your LinkedIn inbox only, Sales Navigator inbox only, or both.

Does LeadCRM import old LinkedIn messages?

Yes. When you enable tracking for a contact, LeadCRM imports the historical messages available in that LinkedIn conversation.

LinkedIn may not expose every older message, so historical coverage depends on what LinkedIn makes available.

Can I save LinkedIn messages as Notes instead of Activities?

Yes. You can choose whether LeadCRM saves LinkedIn messages as HubSpot Notes or Activities in your LeadCRM settings. You can change this preference whenever needed.

How are message timestamps recorded?

For Activities, LeadCRM creates one HubSpot activity per message and applies the actual LinkedIn message timestamp, converted to the HubSpot user’s timezone. This allows HubSpot reports to reflect LinkedIn activity at the time the message actually occurred.

Can I control which LinkedIn fields are mapped to HubSpot?

Yes. Before syncing contacts, configure the HubSpot Contact and Company field mapping in LeadCRM settings. When you add or connect a contact, LeadCRM sends the available LinkedIn profile data to HubSpot using that saved field mapping.

Can I stop syncing messages for a contact?

Yes. Turn off Automated Sync option in your account and LeadCRM will stop syncing in future messages automatically.

Does LeadCRM send LinkedIn messages from HubSpot?

No. LeadCRM syncs LinkedIn messages to HubSpot. It does not send LinkedIn messages from HubSpot.
