How LeadCRM Finds Matches: Customize Your Matching Rules

Learn how LeadCRM automatically matches LinkedIn profiles to existing records in your CRM, and how to use the “Strict LinkedIn URL match only” option to make matching more precise for tools like HubSpot, Pipedrive, Zoho CRM, Salesforce, and others.

How Matching Works in LeadCRM

LeadCRM always shows you a suggestion (never auto-syncs). By default, it follows this reliable two-step process across all CRMs:

  1. Step 1 – LinkedIn URL Match
    LeadCRM searches all text fields in your CRM records for the exact LinkedIn profile URL (linkedin.com/in/john-doe-123).
    Example: Finds URL in HubSpot custom field → Suggests that record ✓

  2. Step 2 – Name Fallback
    No URL found? Searches Name fields only (First + Last Name).
    Example: No URL but "John Doe" matches in Pipedrive → Suggests that record ✓

Important: This is just a suggestion. Even if LeadCRM suggests the wrong person, you can always click "Wrong match? Search & Link" to manually search and select the correct record. Nothing syncs until you approve it.

Strict LinkedIn URL Match Only (Precision Toggle)

Settings → "Strict LinkedIn URL match only" (simple ON/OFF switch)

❌ No URL → No suggestion

Best for messy HubSpot/Pipedrive data

Note: Sales Navigator lists may not highlight due to LinkedIn limitations.

You Always Have Full Control

LeadCRM never auto-syncs – every suggestion requires your approval:

1. LeadCRM suggests: "John Doe (HubSpot)" ℹ️
2. Wrong person? → Click "Wrong match? Search & Link"
3. Search bar opens → Type/select correct record
4. Click "Sync" → Only THEN it saves to CRM ✓

This safety net works in every scenario – wrong suggestions, no suggestions, or Strict mode.

When to Use Each Mode

Default (Flexible – Recommended for most):

  • Building HubSpot/Pipedrive/Zoho pipelines

  • Incomplete CRM data (missing URLs)

  • Want maximum suggestions + manual override

Strict URL Only:

  • Common names causing mix-ups

  • Clean Salesforce/enterprise data

  • Zero tolerance for suggestions

Quick Toggle (15 Seconds)

  1. Open LeadCRM on any LinkedIn profile

  2. Click gear icon → Settings

  3. Toggle "Strict LinkedIn URL match only"

  4. Applies instantly to all CRMs

Pro Tips for All CRMs

  • HubSpot: Add "LinkedIn Profile URL" property

  • Pipedrive: Use "Web Page" field for LinkedIn links or use newly creatd Linkedin_url field

  • Zoho: Create "LinkedIn_URL" custom field of type url

  • Always: Use "Search & Link" as your safety net
